Sound familiar?

Clients live in one spreadsheet. Bookings in another, or in the notebook at reception. Invoices are in SmartBill, orders arrive by email, and the monthly report is put together by hand on a Friday afternoon, copying numbers from one place to another.

Each tool is fine on its own. The problem is that they do not talk to each other, and the link between them is you, or someone on your team. When that person is on holiday, things stop.

A system built for you brings everything into one place. It does not force you to work the way an American product designed for a 500-person company expects. It adapts to how your team works, with your terms, your steps and the reports you actually need.

What we can build

A few examples. Most of the time, the final system is a mix of them.

  • A CRM that fits

Clients, quotes, contracts, tasks and the history of every conversation. No per-user fees.

  • Online bookings

Clients book themselves, get an SMS reminder, and your team sees the calendar on their phones.

  • Course platform

Sign-ups, payments, video lessons, tests and automatically generated certificates.

  • Dashboards and reports

The numbers you need, updated on their own, instead of a report built by hand at the end of the month.

  • Client portal

Clients see their orders, documents and invoices without calling you or messaging you on WhatsApp.

  • Integrations

We connect the system to SmartBill, e-Factura, couriers, online payments, Google Calendar, SMS and email.

  • Roles and permissions

Everyone sees only what they need. Reception, accounting and management get different screens.

  • Works on phones too

The system runs in the browser, on a computer or a phone. If needed, we build an app as well.

Two CRMs for the same academy

For Spa Therapy we built a CRM in Romania and another in Moldova. They bring together students, enrolments, certificates, online shop orders and reports, connected directly to the websites and the apps.

Certificates are generated automatically, orders no longer need copying by hand, and management sees the numbers without asking anyone. Everything that was scattered across files and messages now sits in one place.

  • Students, enrolments and certificates
  • Shop orders and invoicing
  • Reports on courses, events and sales

And a CRM for programmes and clients

For Createrra, in Romania, we built a CRM for managing clients and projects. Clients, programmes and tasks live in one place, not in separate spreadsheets sent around by email.

The Createrra website

Does it make sense for your business?

Yes, if

  • you have between 5 and 50 people working with the same data
  • you lose hours every week copying information from one place to another
  • off-the-shelf software does not match your steps
  • you pay for many per-user subscriptions and the total grows every year

Probably not, if

  • you work alone and a good spreadsheet is enough
  • an off-the-shelf product does 90% of what you want at a low price
  • you do not yet know how you want the team to work. Then we start with an analysis

How we build an internal system

  1. Process analysis

    1-2 weeks

We sit with the people who will use the system and see how they work today, step by step. You get a process map and a fixed quote.

  2. A first useful version

    4-6 weeks

We build first the part that saves the most time, so the team uses it as soon as possible, not six months from now.

  3. Weekly demo

    every week

You see the progress and try it. We adjust based on what the people using it say.

  4. Data migration and training

    1 week

We import the data from spreadsheets or old software and show the team how to work with it.

  5. Warranty and ongoing development

    12 months

We fix for free anything that does not work as promised. New features are added one at a time, at a price agreed in advance.

What moving off spreadsheets looks like

The hardest part of new software is not the code. It is the people who have to work differently from Monday. That is why we never do the “big switch” in one day.

  1. We start with one team or one process, the one losing the most time. Everything else stays as it is for a while.
  2. We import your spreadsheet data and check it together. Duplicates, clients spelled three ways, empty columns: we clean them up once, properly.
  3. You run both in parallel for a few weeks, so you can trust that nothing got lost.
  4. We switch the spreadsheet off only when the team says they no longer need it.

At every stage we adjust the screens based on what daily users tell us. Software the team works around is money thrown away, however nice it looks.

Questions about custom software

Why not use an off-the-shelf product?

Sometimes that is exactly what we recommend. If an existing product does what you need at a reasonable price, we will say so. Custom software makes sense when off-the-shelf tools force you to change how you work, or when per-user subscriptions end up costing more than a system of your own.

What if we stop working together?

Nothing bad. The code is yours, written in a very widely used framework, Laravel, and any good developer can take it over. We do not keep clients locked in with code only we understand.

Does it connect to SmartBill, e-Factura or other tools?

Yes, if the tool has a developer interface. SmartBill, Oblio, e-Factura, the couriers, payment processors, Google Calendar and SMS providers all do. For anything else, we check during the analysis.

Where is the data stored?

On a server in the European Union, in your company’s name. We back it up daily and set who can access what.

How soon can we start using it?

The first useful version usually arrives 4-6 weeks after the analysis. We add the remaining features one by one while the team is already using the system.

Can it have a mobile app too?

Yes. The system runs in the browser and on phones, and if you need notifications or offline work, we also build a mobile app on the same server.

Tell us what you still do by hand.

The best starting point is a list of the things that eat your time every week. We reply within one working day.
